Opened to the public in 1935, The Frick Collection is a world-renowned art museum consisting of more than 1,500 works of art from the ninth to the nineteenth centuries displayed in the intimate surroundings of the former home of Pittsburgh industrialist Henry Clay Frick. It is considered one of the world's most perfect museums and the residence is one of New York City’s few remaining Gilded Age mansions. The Frick Art Reference Library, founded by Mr. Frick’s daughter, Helen Clay Frick, in 1920, is an internationally recognized research library that serves as one of the world's most complete resources for the study of Western art. The Frick has moved into its temporary home in the former Whitney Museum Breuer building at 75th Street and Madison Avenue, Frick Madison, while renovations are undertaken to the newer parts of the building at 1 East 70th Street. We provide training on best practices for protecting oneself and colleagues during a pandemic while always providing the highest quality customer service.

Position Summary

The Administrative Assistant is a full-time administrative position supporting the Education Department at The Frick Collection. The Assistant will primarily be responsible for the scheduling and coordination of public programs, educational events, and the department’s internal and external meetings, taking place both online and onsite. The Assistant will coordinate the administration of guided visits and private tours, which includes: receiving and responding to email and phone inquiries; checking for scheduling conflicts in online calendars; processing online reservation forms and payments; handling program-related recordkeeping and filing; coordinating with relevant museum staff as well as contractors; sending confirmation and follow-up emails to visit and tour requesters; and setting-up necessary teaching supplies and resources, such as drawing materials, digital images, Zoom meeting links, iPads, and gallery stools. While this position does not include teaching responsibilities, it is a critical public-facing role; welcoming or greeting in-person groups may be needed on occasion. Additionally, the Assistant will ensure that the department calendar is updated and shared regularly with key stakeholders, and that all meeting and program dates are synched with various institutional calendars as well as the public programs calendar on the Frick’s website. The Assistant will also respond to everyday email and phone inquiries related to education, assist with public program registrations and communications, and help with projects related to departmental organization, notetaking, reporting, filing, as well as programs data and statistics. Regular working hours will be Monday-Friday. The Frick Collection hosts educations events and other activities on evenings and weekends that sometimes require administrative support; the Assistant is often asked to work extended hours to provide support during these events.


The education and/or experience requirements listed below are representative of the knowledge, skill, and ability required to successfully perform the essential duties of this position.

Required skills and experience:

  • Outstanding time management and organizational skills, with a strong attention to accuracy and detail
  • Ability to prioritize and execute a broad range of administrative tasks with an understanding of, and/or willingness to learn, software used in the office, including: Microsoft Outlook, Teams, Word, Excel, and PowerPoint; Zoom Meetings; Airtable; Box; Google Drive; ACME
  • Ability to clearly and cordially communicate with staff, contractors, and the public primarily through email correspondence and phone calls, yet also in-person when needed
  • Past experience in a professional office setting and/or customer service preferred

Work Hours and Compensation

Regular workweek is 35 hours, Mondays-Fridays; hours worked in excess of 35 per workweek are paid at time- and-a-half. Rate of pay is $48,000; $26.37/hour.
